Privacy Policy
The Study is committed to protecting the privacy of all of our constituents. We recognize that to maintain this trust we must be responsible, transparent and accountable in how we treat all personal information that is shared with us. The school is committed to meeting or exceeding the principles set forth in the Quebec personal information protection statutes.
Information we collect
The school collects and maintains information on all constituents who voluntarily provide information to us by sending us an e-mail, completing an application form, participating in a survey, making a philanthropic gift or completing an online form. When you voluntarily submit personal information, you consent to its use for the purposes stated at such time. Personal information submitted may only be disclosed to third parties for relevant processing and administrative purposes.
How does the school use your personal information?
- To communicate with parents and students, process applications, fulfill your request, process your transactions and ultimately provide students with the educational services and co-curricular programmes they expect.
- To respond to your email messages.
- To enable the school to operate its administrative function, including payment of school fees and maintain non-educational school programmes, including parent and volunteer participation and fundraising,
- To process responses to employment opportunities posted on www.thestudy.qc.ca.
- To support customer relationships with The Study, more specifically to communicate with parents (past and present), students (past and present), and friends of The Study to inform them of activities and events in the promotion of the school, including fundraising initiatives. You can unsubscribe to mailings from The Study at any time. To opt-out of communications, please email communications@thestudy.qc.ca.
- To recognize visitors who have registered on our website.
- To provide you with information about The Study and its programmes.
- To, where deemed necessary, provide specialized service providers such as emergency responders, constituent’s voluntarily submitted health information.
- Where required by law, the school my disclose specifically requested information upon satisfying itself the requesting authority is legitimate. Student information is filed annually with the Quebec Ministry of Education.
If, for any reason, personal information is required to fulfill another purpose, the school will, where appropriate, notify the individual and seek consent before proceeding. In the case of a student’s personal information, the school will seek the consent from the student and/or parent depending on the circumstances and the student’s maturity and mental ability to understand the consequences of the proposed use and disclosure.
Retention and Access
The Study maintains confidential and secure databases and files, to which only authorized staff have access. Any third parties who conduct business on behalf of the school, such as mailing houses, must also adhere to this policy and companies offering on-line services (such as the alumnae e-mail directory) must also provide secure sites. The Study does not rent, sell, trade or provide personal information to individuals or organizations outside of the school other than as disclosed above.
Student files are stored in secure filing cabinets. Access is restricted to only those staff who, by nature of their work, are required to see them (teachers, counselors, administrators, etc.).
Requests for access or corrections to personal information, or to have personal information removed from The Study’s databases, must be made in writing. It is your right to access your personal information that we have on file. However, in order to ensure that the appropriate individual is available to review your file with you and is available to answer any questions or address any concerns you may have, we require advance notice (at least two school days) of your visit to our premises.
Non-personal information
Like other websites The Study’s website uses a standard technology known as cookies, that allow our site to remember your preferences. When a visitor comes to our site our web server logs information such as IP addresses. This information can be consolidated and shared with research firms. Cookies and shared data will not disclose your identity or your personal information and do not allow recipients to contact you. It is also possible to disable the cookies by changing your browser settings. Like most websites we use statistic packages such as Google Analytics to analyze website usage trends. This information is anonymous and cannot be directly linked to individual users.
